TERMS, CONDITIONS & GENERAL INFORMATION

SWELLENDAM WINTER SCHOOL 2019

 

  1. BOOKING AND PAYING FOR COURSES
    • Upon selecting a course to attend, participants should register on the website by completing the sign-up process. Full course fees, as indicated, are payable in advance upon registration via secure online payments (PayFast or Direct Bank Transfer). For the latter, please use the order code as reference and email proof of payment to: admin@winterschool.co.za.
    • Participants will receive a confirmation email, which is the “entrance ticket” to the course. This should be printed and brought to Registration on the first day of the course.
  1. FEES
    • The fee payable for a course is indicated on each course page and includes the following as a package:
      • All costs associated with the course: facilitator’s fees, venue costs, a skills development stipend, transport and entry fees where required for excursions, and certain materials that may be used during a course by the facilitator and participants;
      • Tea, coffee and refreshments throughout the course;
      • Light lunches (2 during the 3-day course and 4 during the 5-day course: every day except the final day of the course);
      • A margin to cover SWS costs.
  • The following is not included:
    • Certain courses require participants to provide additional materials, which can either be purchased independently or can be arranged through the facilitator. This will be stipulated on the course page and further information provided to participants upon registration.
    • Your accommodation and transport to Swellendam, as well as daily transport between your accommodation and course venue are for your own cost and responsibility.
  1. ACCOMMODATION
    • Participants are responsible to select and book their own accommodation for (at least) the time of their course
    • Accommodation providers listed on the SWS website have partnered with SWS to make special offers available to SWS participants. We encourage you to book at one of these establishments.
    • Certain courses require that you book at particular venues e.g. participants in the Natural Soapmaking course stay at Arumvale. Please check your course information page.
  1. CONFIRMATION AND CANCELLATIONS
    • Each course has a minimum and maximum number of participants that can register.
    • Bookings for each course remain open until 8 calendar days prior to the start of the course (the cutoff date).
    • SWS organisers reserve the right to cancel or postpone any course that does not have the minimum number of participants registered by the cutoff date or if there is a clear warning that adverse weather will have a serious impact on the course.
    • 15 days prior to the commencement date of each course, we will send registered participants an advisory on the booking status, whether confirmed or tentative i.e. that there is a possibility that the course may be cancelled if not booked up.
    • If we cancel:
      • Should the course need to be cancelled, you will be notified 7 days prior to the course start date and your payment will be refunded in full.
      • If a course can be postponed to another date, participants will have an opportunity to transfer to the new date, or have fees refunded, as above.
      • In the event of cancellation or postponement, the SWS organisers will not be responsible for any other expenses incurred. We urge you to check the booking terms of your accommodation and travel providers.
    • If you cancel:
      • Fees will be reimbursed, less a 20% administration fee, if participant’s notice of cancellation is provided in writing 14 calendar days before a course commences. (Notice via email to admin@winterschool.co.za is acceptable, provided that SWS responds with an acknowledgement of receipt).
      • Alternative to cancellation, fees already paid to SWS can be transferred to another SWS course of your choice should there be space available.
      • No fees will be reimbursed if cancellation is made fewer than 14 days prior to a course commencing.
  1. EXCURSIONS AND SITE VISITS
    • Some courses will take you on excursions and site visits. In most cases, transport by minibus taxi will be provided. Transport costs and entry fees have been included in your course fees.
    • A few excursions are to nearby locations and will request participants to carpool at their own cost, in order to avoid additional transport costs.
    • *Demystifying the Motorcycle course involves a ride-out on participants’ own bikes, for which petrol is for your own cost.
  1. WHAT TO BRING
    • Please check the course page for details of what to bring for your course
    • Clothing: Bear in mind that Swellendam can be very cold during the winter months. Bring warm clothing, and especially for those courses in the outdoors, suitable footwear and warm socks. The dress code is casual – wear what you feel comfortable in.
    • SWS invites you to enjoy a leisurely learning experience and take time to explore the area outside of course times, whether our beautiful natural surroundings or the shops and galleries. Bring whatever suits your interest to make the most of these opportunities.
  1. FACILITATORS
    • The SWS organisers have carefully selected facilitators for their experience, passion and evident ability to transmit their knowledge effectively. Facilitators have also received considerable support to ensure that they meet quality standards and provide an optimal learning experience for participants. However, the SWS organisers recognize that capacity, personality, maturity and style all vary among our facilitators. Furthermore, SWS does NOT take responsibility for facilitator’s language use, style, clothing or behavior.
    • We invite course participants to meet their facilitators not as university professors but as ordinary and unique human beings with a passion to share. We invite participants to complete a course evaluation questionnaire at the end of the course to offer feedback on your SWS experience.
    • Some facilitators are fluent in English, some in Afrikaans, and most are bilingual. Course information on the website will provide information about the language used in the course.
    • Facilitators reserve the right to protect their Intellectual Property, which may be copyrighted.
  1. RESTAURANTS
    • Dinners  should be arranged by yourself and are at your own costs.
  1. SCHOOL WEEK: REGISTRATION AND COURSE TIMES
    • Participants should register at the SWS Registration office, off the courtyard at the Drostdy Museum Complex, between 10am and 1pm. Checking into accommodation should also happen during this time. You may then proceed to the course venue for lunch at 1pm and the start of the course at 2pm.
    • Unless specified otherwise, courses follow the schedule below:

  1. PARTICIPANT’S RESPONSIBILITIES
    • To peruse available course information and if necessary request further information before making your selection
    • To register and pay for the course before the cutoff date of 8 days before the course commencement date
    • To be punctual for all sessions
    • To follow course information provided including what materials to bring and what clothes to wear
    • To use own transport to get to course venues each day
    • To be responsible for your own safety
  1. SWS RESPONSIBILITIES
    • It is the responsibility of SWS to ensure
    • That all information provided is accurate, honest and reliable
    • That information about fees and additional materials required is clear and transparent
    • That the safety of participants is always a priority to facilitators, venues and participants
    • The venues are fit for purpose
    • That transport provided for participants meets legal requirements
    • To ensure courses start and end at advertised times
  1. LIABILITY

The SWS organisers and their agents (facilitators, venues, transport providers, caterers) do not accept liability for any loss, injury or damage that might occur to participants or their belongings while participating in the SWS. Participants participate in the Swellendam Winter School activities at their own risk, and will be required on registration to sign an indemnity form (on registration) absolving SWS and its agents for any liability.
